The context
MoneyOak supports hundreds of companies in Belgium, France, Spain and Poland on partial payroll withholding tax exemption, innovation income deduction, subsidies and R&D tax credits. The model is No cure, No pay: MoneyOak carries the file end to end, from data collection to securing the amounts with the administrations.
In this business the raw material is not advice. It is data. HR data, payroll data, time spent per project, R&D project repositories, diplomas, team structures. It sits scattered across each client's systems, in different formats, and it changes every month.
The challenge
Before Basalt, every file started with the same sequence: ask for the files, wait, receive incomplete Excel exports, organise a meeting to understand what each column contained, ask again for what was missing. A cycle of several weeks, repeated every exercise, for every client.
- Expert time consumed by data logistics instead of tax and scientific analysis.
- Under optimised amounts. When data arrives late and incomplete, you secure what is documentable, not necessarily everything that is eligible.
- Invisible opportunities. Without a consolidated, continuous view, it is hard to spot that a client eligible for one incentive is also eligible for another.
“Our business is securing amounts for our clients. Before, we spent considerable time simply obtaining the data that let us do it.”
The solution
PEBLE deployed Basalt as a layer of connectors between the source systems of MoneyOak's clients (ERP, payroll, HR, project and time tracking tools) and MoneyOak's own infrastructure.
- Data is captured at the source, in its original format, with no manual exports or intermediate reprocessing.
- API first architecture and ready made connectors plug a new client in without a custom integration project.
- Implement once. The flow then runs continuously, exercise after exercise.
- One dashboard gives MoneyOak teams the real time state of every client: data completeness, secured amounts, drifts, alerts.
- Anomaly detection and optimisation suggestions flag gaps and areas to investigate, with explainable recommendations, never a black box.
The results
- Collection time cut from 3 weeks to 2 days per file
- +18% secured amounts on average, thanks to more complete data available earlier
- 1 client in 3 identified as eligible for a complementary incentive nobody had detected before
- Meetings about understanding client data have nearly disappeared, replaced by meetings about tax strategy
- Higher processing capacity per analyst, without additional hires

“The most important effect is not the time saved, even if it is spectacular. It is the quality of what we secure. With complete data early in the process, you no longer secure only what is easy to document. You secure everything that is actually eligible. Our meetings no longer serve to understand the data. They serve to decide what to do with it.”
